Transfer and recover report ownership

Distinguish company ownership from the report Owner and hand over reports without losing source dependencies.

A report can belong to an organization while a specific person holds its report Owner role. Teams receive explicit access to the report; they do not replace its organization ownership or human custodian.

These distinctions let a company keep reports when responsibilities change without exposing every report to all organization managers.

Identify ownership

Open Manage Access and review the report's organization and the Owner shown in direct access or Your access & ownership.

Joining an organization changes ownership of future new reports. It does not automatically migrate existing personal reports.

Transfer a report normally

The current report Owner can transfer responsibility:

  1. Open Manage Access.
  2. Expand Your access & ownership.
  3. Click Transfer report ownership.
  4. Enter New owner's email.
  5. Click Review transfer, review the recipient, and confirm.

The new owner must be eligible. A company report's new owner must be an active member of its organization.

After a normal transfer, the previous owner retains Admin access. Organization ownership stays unchanged. Transfer is not a way to move a company report into someone's personal account.

Recover a company report

An organization Owner can recover a known company report when its current human owner is unavailable.

  1. Open Organization & teams → General.
  2. Expand Ownership & lifecycle.
  3. Click Recover report ownership.
  4. Enter the report ID, select the current organization member who should become owner, and provide a reason.
  5. Review and save the recovery.

The UI requires a meaningful reason of at least 10 characters. The action is recorded in organization activity.

Recovery requires an explicit report ID. An organization Owner does not gain a general report-content browser or read access simply by having the organization role.

In both cases, the report remains associated with its existing organization. Other independent permission paths must be reviewed separately.

Offboard a member

Removing a member preserves company reports and source records. It removes organization and team membership and revokes company access through the membership workflow.

Resolve sole active team ownership before removing the member. Transfer accessible reports normally when possible; use explicit company recovery when necessary.

Rejoining does not automatically restore old report ownership, direct shares, or team roles.

Preserve source dependencies

Connection ownership is separate from report ownership. Transferring a report does not automatically change the stored source credential or its owner.

A connection still attached to company reports is protected from deletion until those dependencies are resolved. Hard account deletion can also be blocked by active membership or live company report/source dependencies.

Plan the source connection as part of a handover so retained reports can still query their data.

Archive without deleting

Archiving an organization pauses access to its company reports while retaining records. Restoring it reevaluates current membership, shares, and policy.

Archiving a team suspends that team's inherited report grants; direct individual shares and other team paths remain independent.

Archive is distinct from report deletion, member removal, and ownership transfer.
