Manage teams and shared report access

Separate team management from report access and understand sharing limits, membership, and lifecycle.

Teams group people within an organization so reports can be shared with a group. Each member has a team management role and a separate report-access role.

Reports remain personal or organization-owned. A team's association with a report is an explicit sharing grant.

Create a team

  1. Open the account menu and select Organization & teams.
  2. Choose Teams.
  3. Click Create team, enter a name and description, and save.
  4. Open the team and use Add member to add active organization members.
  5. Review each member's Management role and Report access.

Ordinary members can create teams only when Let members create teams is enabled. Teams belong to one organization and are not nested inside other teams.

Use the team directory

Search by team name or description and filter Team status by Active, Archived, or All teams. Open a team to see Members, Reports, and Settings.

Being able to open a team directory entry does not grant access to its shared reports. The Reports tab respects your report access.

Separate management from report access

Changing a management role does not promote the report-access role. A team Owner can still have only View access to reports shared with the team.

New and re-added members start with View report access. Assign a higher report role explicitly when needed.

Share a report with the team

Open the report's Manage Access → Teams, select the team, choose a Sharing limit, and click Share.

Each member receives the lower of their team report-access role and that report's limit:

A separate individual share or another applicable team grant can provide a higher role. Unity combines valid grant paths after applying organization policy.

This lets one team have View access to one report and editing access to another without changing its management structure.

Maintain membership

Team managers can add eligible organization members and manage ordinary roles. Owner appointments require the appropriate Owner authority.

Use Remove for another member or Leave for yourself. The last active Owner cannot leave or be demoted until ownership has been reassigned.

Removing someone from one team removes that team's inherited grant path. It does not remove independent individual shares or access through other teams.

Edit settings

In Settings, update Team name and Description, then click Save team settings.

Use a description that explains the group's purpose. The directory can search it, and it helps distinguish groups with similar names.

Archive and restore a team

A team Owner can use Archive team. Archiving suspends inherited team report grants while preserving the team records.

Independent individual report shares remain separate. A member might still open a report through another valid path while this team is archived.

Use Restore team to reactivate the team. Access is reevaluated using current membership, roles, report limits, and organization policy.
